Email list management sounds like admin. It's not. Sure it's not for business owners that aren't techy or don't enjoy working through data. I've spoken to quite a few. So I decided to offer it as a new email marketing service for NZ businesses.

The impact can be surprising. We all know that segmentation is on the list for a someday task. But when you start finding your email marketing is dropping off then looking at this is a smart choice.

The sheer volume of digital tasks can make managing your email list feel overwhelming. It can quickly become another thing to juggle that takes you away from your clients. But what if list management wasn't a chore, but a practice that amplified your influence and ensured your messages reached the hearts of those who need them most?

Your clients are seeking a guide to help them navigate profound internal changes. This can start when they become a subscriber so they can get a taste of what it’s like to work with you.

When you focus on providing genuine value through a thoughtful, story-driven approach, your emails become a reliable, safe space where your community feels understood. This empathetic support helps them get in the right headspace and guide them through identity shifts or feelings of being stuck.



Understanding your email list health

Think of your email list as a living, breathing person that needs intentional care to stay in good health. Like one of your health programmes your email list needs maintenance and support.

A healthy list ensures your important, warm, thoughtful messages land in the inbox.

How do you know that your email list is healthy? Keep an eye on these key metrics:

  • Engagement and click rates: Who is consistently opening and clicking. 
  • Deliverability rates: The percentage of emails that successfully reach the inbox. divide the number of delivered emails by the total number of emails sent, and then multiply by 100 to get a percentage 
  • Unsubscribe and spam complaint rates: Email, SMS and even CRM features available with pay-as-you go or plans. 
  • Bounce rates: People make typos in their email addresses and some give you a fake email. You want to get rid of those fast.


A poor quality email list reduces your chance of landing in the inbox and being seen by the people who want and need your help. This is one of the many reasons why I never recommend purchasing an email list. Even if they insist it's high quality. They would say that wouldn't they?

Best practices for maintaining your email list quality



A. Why and how to prune your email contacts




Inactive email contacts can drag down your engagement metrics. This signals to mailbox providers (like Gmail and Outlook) that your content is not valuable, which can mean they send your email to the junk folder. For all your subscribers even your most active ones.

A spring clean every 6 months can keep your email list top quality. By giving your email list a health check, archiving inactive subscribers, you're take a step to protect your sender reputation and email marketing effectiveness.

  • Identify unengaged subscribers
  • Setup a re-engagement sequence (a short series of emails sent automatically when someone has opened for a while)
  • Respecfully remove inactive subscribers

B) Collecting quality email subscribers from the start




The easiest way to keep a healthy list is to only invite your ideal audience onto it. And if you rebrand to appeal to a new audience you can expect that this means your email list is going to need more work to attract the right people.

I've worked with quite a few brands that have changed their target audience. For example: attracting decision makers (eg. CEO's) instead of the people who support them. Changing your audience means a new email strategy and sometimes it can feel like you're starting from scratch.

  • Ethical list building (that means no emailing people who haven't asked you to)
  • Clear expectations about how often you'll email and how your emails will help
  • Compelling offers that are almost irresistable


Sound boring and a whole lot of work? Yeah, but it's the work I love. Call me a geek, I am. But we haven't got to the best bit yet - segmentation. That's up next.

Segmentation is so much more than just tagging. I've written an article all about the different ways to organize your list with tags, segments and groups but here I'm focusing on segmentation.

Everyone says you need to send personal relevant emails but how? Segmentation is how and it helps you understand your subscribers better.

Segmentation is the difference between casting a wide net and speaking directly to an individual's deep desires and inner conflicts. It ensures your story-driven, human-sounding copy hits home every time.

For health coaches, this means moving past a generic "health and wellness" message. You can tailor your narrative for the specific stage your subscriber is in. Whether they are just starting to recognize that meh feeling is their burnout or are actively working on taking on those big juicy sales goals for their business (with your expert guidance).

Practical segmentation strategies for health coaches




Segmentation can sound really intimidating and to be honest most coaches ask me 'can you do it for me'. The answer is a big YES, cause too many don't realise it exists.  You want to know the how...Here it is: 

  • Segment by engagement level: Group subscribers based on how often they click your emails .Send more to your most engaged subscribers.
  • Interests: Someone registered for your webinar on IBS? Add them to your gut health segment
  • Source: If someone joins your email list via your 'Pick my brand style' quiz then add them to your quiz segment. That way at the end of the year you know what grew your list the most.
  • Other behaviours: If someone clicked, registered, or took some action that's data. You just need to decide if this is data you need or want to track.

Now I love data. But just because you can doesn't mean you should. So while I have heaps of segments if you're not going to ever use them or you have a tiny list then it's OK. This is your permission to say 'This is not an approach I need right now'.

There are enough shoulds out there let's not add to them.

Segmentation helps improve email quality and engagement



When people ask me how can I increase my email engagement segmentation is a great way. If you can and want to then it's worth doing.

Segmented messages naturally lead to higher open rates, click-through rates, and conversions.

More specific messaging that feels like it was written just for them lands better. One thing to try is personalizing your CTA to the precise emotional and logical needs of a segment,. That's how you move from general advice to transformational guidance.
